TITLE: Finance & Development Coordinator
REPORTS TO: Co-Executive Directors
TYPE OF POSITION: Full-time
SUMMARY DESCRIPTION:
The Finance & Development Coordinator will be responsible for maintaining the budgets and financial reporting for the organization’s various funding sources, including grants and contracts and private foundation support. This includes, but is not limited to, working with the co-Executive Directors in developing program budgets, preparing invoices, tracking spending by funding source, assuring appropriate expense allocations and appropriate compliance with fiscal controls.
The Finance & Development Coordinator will assist the Development Director to manage fundraising and stewardship to support AG’s work. This includes, but is not limited to, assistance in implementing the annual comprehensive development plan, maintaining, evaluating and managing the donor database, assisting with donor stewardship, and private foundation solicitation and reporting.
Major Duties and Responsibilities

Monitor budgets and spending for programmatic grants and contracts

Prepare monthly and quarterly invoices for grants and contracts

Maintain staffing formulas and allocations to appropriate funding sources

Prepare budgets for grant and contract applications
-
Prepare monthly staff spending reports for grants and contracts
-
Assure timely submission and accuracy of financial reporting on grants and contracts
-
Assist Accountant with invoice payments and other Quickbook duties as needed

Assist co-Executive Directors in preparing agency budgets and financial reporting

Assure compliance with all fiscal policies and procedures
Maintain infrastructure for AG’s fundraising programs under the supervision of the Development Director by:

Maintaining and managing the donor database
-
Clean up current donor list - verify current donor info
-
Set up appropriate fields for new fundraising projects
-
Enter all donations and updated donor info into database
-
Document database setup, fields, and search instructions for ease of use by others
-
Researching prospective donors and create call sheets
-
Support special events and fundraising opportunities in each of AG’s offices
-
Assist Co-EDs and the Development Director with annual fundraising events
-
Manage & maintain databases and reports for all fundraising activities
-
Coordinate the solicitation of private foundation grants
-
Track and prepare reports for private foundation grants
-
Other duties as required and needed
Required Qualifications
-
Alignment with American Gateway’s mission

Strong mathematical abilities
-
Experience in developing and/or monitoring multiple budgets
-
Experience in managing budgets of over $2M
-
Experience in using Quickbooks or similar accounting software
-
Experience in Excel
-
Detail and task oriented
-
Three years of experience in development activities, including donation solicitation, donor research and stewardship, events, and management of foundation grants
-
Proven ability to implement fundraising plans with attention to detail
Preferred Qualifications
-
Experience in working with non-profits or government entities
-
Education or experience in accounting
-
Experience in working in a collaborative, rapidly changing work environment
HYBRID WORK PLAN: This position will require working remotely and in-office
FULL TIME POSITION: 40 hours/week
SALARY RANGE: Full-time salary range $60,000 - $80,000
